Commission Process

Step 1:

Client is interested in commissioning the artist’s work (yay!) – artist being me (Claudia aka cloudiahaven)

Step 2:

The client decides if what they want is something I can do and whether they like the artist’s style and prices listed on the commission page.

  • DO: Portraits, full-body sketches, chibis, pets,
  • DON’T: Gore, NSFW, Mech/Vehicles, detailed backgrounds

Step 3:

Client sends a commission request/message of what they want to the artist’s Ko-Fi page or Artist Tree page! The prices and details are listed there as well. Both platforms use PayPal and Stripe for payment. You can contact the artist via email (cloudiahavenart@gmail.com) as well, but to continue commission progress, the client will eventually be linked to Ko-Fi or Artist Tree to continuue!

Step 4:

Once a request has been sent, there should be a reply within 7 days.

Once a commission request has been accepted, the client will be sent terms and conditions. It is the client’s responsibility to read the terms and conditions in full before continuing.

Terms and Conditions (incomplete)

Use of Photos and Copyrighted Images If the commission is a replication of a photograph, (client) must have permission to use such photographs & it is their responsibility to not breach any copyright laws. The (artist) cannot reproduce a trademarked or copyrighted character without written permission from the copyright owner.

Deposit The artist requires a deposit from the client to confirm and secure their commission (amount is outlined on Ko-Fi/Artist Tree platform). This deposit is non-refundable unless the artist outlines they cannot fulfil the commission request for personal reasons. If (artist) must terminate due to the inability to complete the work technically, a 100% refund of the deposit will be honoured.

Usage rights The commission cannot be used to enter any competitions online or offline. The commission cannot be used for financial gain or marketing unless discussed otherwise. If the commission is for commercial use, new terms of agreement must be signed.

Payment Invoices will be issued by (artist) upon completion of the commission & before collection/delivery. Invoices are primarily sent via email unless requested otherwise. Payment must be received within 7 days of the invoice. Before the artwork is sent, the client must pay the remainder of the cost of the commission via (host platform). Once payment is received in full, the artwork will be sent via (email) It is the client’s responsibility to provide the correct email address to receive the artwork.

Copyright (Artist) retains the copyright to the artwork created from (clients) commission. (Artist) will not reproduce the artwork & its usage will not be allowed on any other website apart from the (artist)’s website and social media pages, unless (client) gives written permission to do so. (Artist) reserves the right to display the artwork on their website and social media pages. If a Client is unhappy about the artwork being displayed, they must declare this upon placing the commission. (Client) retains ownership of the artwork and has permission to share the artwork on social media as long as the artist is correctly tagged and identified, unless (artist) has requested otherwise.

Acceptance It is not necessary for the Client to have signed any document for these terms and conditions to apply.

If (client) has agreed to a commission (artist) and the terms have been sent, then (client) will be deemed to have read the terms and have accepted these terms and conditions in full.

Step 5:

Once the client accepts, please allow up to 1 week for the artist to work on the commission.

The client and artist will further discuss the details (ie. pose, characters, purpose) if needed.

Step 6:

The artist will send progress of the commission along the way. It is the client’s responsibility to accept each progress stage before the artist can continue to work on the commission. At this stage, minor alterations can be requested. The artist will outline whether this is possible to complete. The artist reserves the right to share “in progress” content to social media unless the asks for this not to be done, for example if the commission is confidential or a surprise gift.

Step 7:

Once the artwork is complete, the client will be sent a low resolution, watermarked digital image. At this stage only very minor adjustments can be made. Once the client has accepted the digital photo, no more changes can be made.

Step 8:

Payment will be made on the Ko-fi or Artist Tree platform before artwork is delivered to the client via email.
